Auto Notification of a Permit/Induction/Insurance Expiring

A permit/induction/insurance can be flagged to automatically email the contractor when it is due to expire.

When flagged an email is sent at 30, 15, and 0 days before expiring. Each email is generated from a template specific to the contractor and relevant period before expiry.
 

Setting Auto Notify


If ‘Auto Notify’ is not selected the ‘Certify’ button will have a blue background.


To set a permit/induction/insurance to auto notify, click the symbol in the Certify column circled above) on the Contractor Authorisation Screen.


















Check
 ‘Auto Notify’.

Select ‘Certify’.
 
Once ‘Auto Notify’ is selected, the ‘Certify’ button on the Contractor Authorisation Screen will be shaded with a colour.

Coloured ‘Yellow’ indicates that it is set to auto notify but there is currently more than 30 days before expiry.


 

Coloured ‘Orange’ indicates that it is set to auto notify, the email at 30 days has been sent and it is currently between 15 and 30 days before expiry.


 

Coloured ‘Red’ indicates that it is set to auto notify, the email at 15 days has been sent and it is currently between 0 and 15 days before expiry.


 

Each time an email is sent an event appears in the ‘Events Monitor’ section of the Contractor Authorisation Screen.
